How this policy applies
Crewsmith provides field-service operations software for businesses that manage their teams, customers, jobs, calls, messages, invoices, payments, and schedules on our platform.
For information Crewsmith collects for its own website, accounts, billing, support, security, and platform operations, Crewsmith is the business responsible for that information. For customer records, job details, messages, call information, and similar data that a subscriber business enters into Crewsmith or asks us to process, Crewsmith acts as a service provider for that business.
If you are a customer of a business that uses Crewsmith, that business controls many decisions about your information. Contact that business first, or use the contact details on this page and we will help route the request when appropriate.
Information we collect
Account and business information, such as names, emails, phone numbers, roles, business profile details, invitations, and billing details.
Customer and service information, such as client contact details, service addresses, job and schedule details, invoices, payment status, reviews, and customer portal activity.
Communications information, such as SMS and email delivery records, opt-in and opt-out records, call metadata, call recordings, transcripts, summaries, and support messages.
Technical information needed to operate and protect the service, such as IP address, browser details, session cookies, and security or audit logs.
How we use information
We use personal information to provide requested services: account access, scheduling, dispatch, phone answering and transfers, SMS and email notifications, invoicing, payments, reviews, customer portal access, and support.
We also use information to keep the service reliable and secure, prevent abuse, meet legal obligations, and handle disputes.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
How we share information
We do not sell personal information. We do not sell mobile opt-in information or SMS consent records, and we do not share them with third parties for their own marketing or promotional purposes.
We share information only as needed to provide the service, operate the platform, comply with law, protect the service, or support a business transaction such as a merger or acquisition. That includes trusted service providers that help with hosting, authentication, payments, messaging, voice, email, maps, and security.
Subscriber businesses and their authorized users can access the tenant data they store in Crewsmith according to their roles and permissions. Customer portal links may expose specific invoices, quotes, jobs, or review pages to the intended recipient.
Payments, calls, and messages
Card and bank details are handled through our payment processor. Crewsmith stores payment metadata such as amount, status, and timing so businesses can reconcile invoices.
When phone answering or transfer features are enabled, Crewsmith may process call audio, caller numbers, transcripts, summaries, and recordings to answer calls, book appointments, send follow-ups, transfer callers, and help businesses review outcomes.
Transactional SMS may include booking confirmations, appointment reminders, on-the-way notices, invoice links, review requests, and similar service messages. Customers can opt out by replying STOP or using the SMS preferences page.
Retention and security
We keep information for as long as needed to provide the service, maintain business records, comply with legal obligations, resolve disputes, and protect the platform.
Call transcripts and recordings are deleted after the configured retention period (default 365 days), unless retention is required for legal hold or dispute handling. Related metadata and audit records may be kept longer.
Crewsmith uses access controls, encryption, and other safeguards appropriate to the sensitivity of the information and the role of each user.
Your choices
Account users can update many profile, business, customer, job, notification, and integration settings inside Crewsmith, depending on their permissions.
SMS recipients can reply STOP to opt out, reply START to resume where supported, or use the public SMS preferences page.
You may request access, correction, deletion, or other help by contacting Crewsmith using the details on this page or by contacting the business that uses Crewsmith to serve you. Some information may be retained when needed for invoices, security, legal compliance, or dispute handling.
Changes to this policy
We may update this policy as Crewsmith changes. When we make material changes, we will update the effective date and take reasonable steps to notify affected users or subscriber businesses when appropriate.
